Vacasa Onboarding Planning & Prioritization Diary Study

Intro

Discovering How Onboarding Coordinators Decide “What to Do Next”

The Onboarding Product team wanted to gain a better understanding of how Onboarding Coordinators decide what to do next, including how they prioritize their units and tasks, who they are talking to, and what obstacles prevent them from moving units forward in onboarding.

Knowing that the answers to these questions would not be straightforward and would require context and multiple data points, I proposed the following diary study as the ideal way to gather this information.

My Approach
  • 4-6 Onboarding Coordinators and 2 Onboarding Managers were selected to participate in the Diary Study
  • For two weeks, participants were asked to fill out a short survey at the beginning and end of each week day.
  • The diary study ran from Monday Apr 24, 2023 through Friday May 5, 2023. This intentionally included a week at the end of the month and beginning of the month so that we could compare any differences in prioritization between these two time frames.
Beginning of Day Survey
  • What are you planning to do today?
  • What are you going to do first? Why?
  • What are you going to do second? Why?
  • What are you going to do third? Why?
  • End of Day Survey
  • Which of your top three priorities/tasks did you accomplish today?
  • If you were not able to complete one or more of these priorities, what changed?
  • Do you have any additional information or context you would like to add?
